As an organisation that makes decisions about processing activities, we take the issue of security and data protection very seriously, including compliance with the UK General Data Protection Regulation, the UK Data Protection Act 2018, the Privacy and Electronic Communications Regulations 2003, and the newly released Date (Usage and Access) Act 2025.
LMF are a National Installer of Energy Efficient measures. Established in 2016, we are specialists in the installation of renewable energy measures and have grown to be one of the UK’s leading installers. With over 30,000 energy efficient measures installed to date, we have already assisted in bringing thousands of households out of fuel poverty
We are registered as a data controller with the Information Commissioner's Office (‘ICO’) / Information Commission - the independent body that upholds information rights in the UK, overseeing data protection legislation.

- to undertake and perform our obligations and duties to you in accordance with the terms of our contract/agreement either with you or another person

- for all other purposes consistent with the proper performance of our operations and business
If you are an unsuccessful applicant during our recruitment processes, any application / recruitment data processed will be retained for six months, so that we may contact you if a similar job becomes available.

Special Category Data

Similarly, we also process criminal convictions and offences data, including personal information relating to offences or alleged offences. Criminal convictions and offences data is not classed as special category data, albeit it also requires a higher level of protection, and requires additional legal requirements for lawfully processing it.
For example, if relevant for your application for a job role, we will process criminal convictions data provided by the Disclosure and Barring Service (DBS).
Automated Decision Making
Automated decision-making is the process of making a decision by automated means without any human involvement. These decisions can be based on factual data, as well as on digitally created profiles or inferred data.
When you interact with our Eligibility form, the personal data you provide is automatically assessed with regards to your eligibility for free solar panels, insulation, and heating upgrades. Depending on the answers you provide to the various questions asked, you will be provided with an immediate response in instances where, based on the information you have provided, you do not meet these criteria.

How do we protect your personal data?
We have appropriate security measures to help prevent personal information from being accidentally or unlawfully accessed, shared or lost, or otherwise processed. When you give us information, we take steps to make sure that the information is kept secure and safe. All data is held in accordance with our data protection policies and procedures. Our systems for storing your personal information are password protected, with multi-factor authentication enforced, and all electronic data is stored securely, with encryption enabled during transit and at rest.
Additionally, we utilise Microsoft 365 and its associated security features in order to protect your personal information, such as access management controls, threat management controls, and more. All paper files are kept secure in locked rooms and cabinets.
We limit access to your personal information to those who have a genuine business need to access it. Those processing your information will do so only in an authorised manner.
How long do we keep your personal data?
We only keep your personal data only for as long as we need to, in order to manage your relationship with us and comply with legal and regulatory requirements. Our retention periods are defined within our Data Retention Policy and Schedule.

Monitoring Purposes
We may from time to time carry out monitoring activities. This will only be undertaken in limited circumstances, where we have a valid lawful basis to do so and having due regard to your privacy and rights. Monitoring can be undertaken to help determine misconduct or fraud, for your safety and protection at our premises, or for training purposes.
We will carry out the following monitoring exercises
- CCTV – Images and audio recorded of any person visiting our premises. This is used for employee safety, security, and the detection and prevention of crime.
- Telephone Call Recordings – For training and monitoring purposes.
